SCHEDULING POLICY
Kinetix Performance Physical Therapy, Inc. operates on a self-scheduling system though the third-party service Calendly. With this service, patients have the flexibility to access and schedule appointments at their own convenience. It is the patient’s responsibility to keep us informed about illness, vacation/travel and rescheduling of appointments. When you book through Calendly, you will receive an initial confirmation email that will give you the option to add the event to your calendar. By default, a follow-up email reminder will be sent 48 hours in advance, while a text reminder will be sent out 24 hours in advance. Our schedule is shown on a 60-day rolling period, meaning that you can schedule up to 60 days out from the current date. Any appointments you wish to schedule past 60 days must be confirmed by the provider outside of the Calendly service.
CANCELLATION POLICY
If you need to cancel or reschedule your appointment, you must do this AT LEAST 24 hours prior to your appointment. Given that this practice operates with a solo provider who exclusively treats 1-on-1 with all patients, a last-minute cancellation is unfair to both the provider and other patients that could have potentially filled that spot. We understand that things happen, however, in order to promote accountability among both parties, we must define what situations constitute an emergency and what does not.
All sub 24-hour cancellations or no shows for non-emergent situations will be subject to a flat CANCELLATION FEE of $50, payable by invoice or in person prior to the following visit. Patients who purchase a package can “use” one session in order to waive the cancellation fee. Reminders via email and text will be sent 48 and 24 hours, respectively, prior to your appointment time. You will have the ability to reschedule or cancel up to 24 hours before your scheduled appointment.
Situations that are classified by our company as an EMERGENCY:

Last minute travel for family hospitalization or death

Self-hospitalization or injury that prevents you from safely arriving to clinic

Motor vehicle accident resulting in physical/mental harm

Carrying an airborne or food-borne illness that is currently contagious
Situations that are classified by our company as a NON-EMERGENCY:

Last minute school/work shift, meeting or work travel*

Feeling sore or having an increase in symptoms (communicate this to provider to see if we can help first)

Traffic or inability to find transportation
*If you need a note to present to your work/school about your appointments and cancellation policy, we are happy to provide this. Cancellation fees for healthcare appointments is an expense that can be reimbursed by work if they ask you to stay late or travel without due notice.
